Onboarding for Electronic Data Exchange with MIIC

The first step to creating or enhancing an interface with MIIC is to submit a MIIC Data Exchange Registration of the requested work. Registration is also required to add new facilities to an existing interface.

Some of the registration questions are business-related and some are technical. Provider organizations may need to coordinate with their technical team and/or EHR vendor to complete the registration. MIIC staff will review submitted registrations and the organization’s Data Use Agreement status. They will reach out if there are any questions.

Organizations are notified once they are placed in queue. Organizations can expect to remain in queue for 4-6 weeks.

While in queue, organizations should review the MIIC HL7 specification guides at Electronic Data Exchange with MIIC and prepare their systems for onboarding. Organizations that have staff and technical capacity to begin working with the MIIC technical team as soon as the project kicks off are more likely to move through the onboarding process in a timely manner.

Organizations will receive an email to initiate onboarding. Credentials will be set up in the test environment and the organization will begin sending test messages to the test environment.

MIIC technical staff will review the HL7 messages to ensure the format is correct. Your organization will be responsible for addressing all errors identified during this review. The following are required to move forward:

• All administered vaccinations include a CVX code and either a CPT code or NDC.
• All historic vaccinations have historically correct CVX or CPT codes.
• All vaccinations have dose-level eligibility codes where appropriate.
• All vaccinations have manufacturer and lot number when available.
• All messages have race and ethnicity codes when available.
• All messages have full client address and phone number when available.
• All messages have appropriate refusal codes where appropriate.
• All messages have protected status codes where appropriate.
• No messages have administered dates that are in the future.
• No messages are found with social security numbers.
• No messages contain filler or junk data, such as phone numbers that contain all 9's.

Credentials will be set up in the production environment and your organization will begin sending real patient data or query messages to the production environment. There will be a post-production monitoring period to ensure everything is still processing as expected after the move to production.

After completing the post-production monitoring period your organization will move to ongoing submission. Any issues with your interface will now be directed to the MIIC Help Desk.
